1. INTRODUCTION

This Cancellation & Refund Policy (“Policy”) explains the cancellation, amendment, refund and related procedures applicable to services booked, purchased or facilitated through Samadhan Shree.

2. IMPORTANT PRINCIPLE

Samadhan Shree provides or facilitates a number of services supplied by independent third parties.

Depending upon the service, the actual supplier may be:

  • Airline;
  • Railway;
  • Bus operator;
  • Hotel;
  • Resort;
  • Tour operator;
  • Destination management company;
  • Insurance company;
  • Insurance intermediary;
  • Bank;
  • NBFC;
  • Financial institution;
  • eSIM provider;
  • Forex provider;
  • B2B travel supplier;
  • Payment provider;
  • Government authority; or
  • Another independent service provider.

The cancellation and refund rules of the actual service provider will generally determine whether a refund is available and the amount that can be refunded.

Samadhan Shree cannot promise a refund where the relevant supplier's rules do not permit one.


3. GENERAL CANCELLATION PRINCIPLES

Unless specifically stated otherwise:

  1. A cancellation request must be communicated to Samadhan Shree through an authorised communication channel.
  2. A cancellation is not considered complete merely because the customer decides not to travel.
  3. The cancellation becomes effective only after Samadhan Shree acknowledges or processes the cancellation request.
  4. Supplier cancellation charges may apply.
  5. Samadhan Shree service or processing charges may apply.
  6. Payment gateway or transaction charges may be non-refundable.
  7. Certain services may be completely non-refundable.
  8. Refunds are subject to the applicable supplier's rules.
  9. Refund processing time depends upon the supplier and payment system.
  10. Any refund will ordinarily be made only after the applicable amount has been received or released by the relevant supplier.

4. BOOKING-SPECIFIC CANCELLATION RULES

The cancellation conditions applicable to a booking may be communicated through:

  • Quotation;
  • Booking confirmation;
  • Invoice;
  • Itinerary;
  • Ticket;
  • Hotel confirmation;
  • Tour agreement;
  • Insurance policy;
  • Supplier terms; or
  • Written communication from Samadhan Shree.

Where specific cancellation conditions have been communicated for a particular booking, those conditions will apply to that booking.


5. NON-REFUNDABLE SERVICES

Certain products and services may be:

  • Non-refundable;
  • Non-cancellable;
  • Partially refundable;
  • Refundable only after supplier approval; or
  • Refundable subject to specified deductions.

Examples may include:

  • Promotional airfares;
  • Certain low-cost airline fares;
  • Non-refundable hotel rates;
  • Special tour packages;
  • Visa fees;
  • Certain insurance charges;
  • Certain eSIM plans;
  • Certain B2B bookings;
  • Service charges; and
  • Other specially priced services.

Customers should carefully review the applicable cancellation terms before confirming payment.


6. CANCELLATION REQUEST PROCEDURE

Customers wishing to cancel a booking should contact Samadhan Shree as soon as possible.

Customers should provide:

  • Customer/passenger name;
  • Booking/reference number;
  • Service booked;
  • Travel/service date;
  • Cancellation request;
  • Contact number; and
  • Any other information reasonably required to identify the booking.

For important or high-value bookings, Samadhan Shree may request a written cancellation request.


7. TIMING OF CANCELLATION REQUEST

Cancellation charges may depend upon the exact date and time at which the cancellation request is received and can be processed.

Customers should therefore submit cancellation requests as early as possible.

If a request is received outside business hours, on a holiday, or after the supplier's cancellation deadline, the supplier may treat it as having been received on the next working day or after the applicable deadline.

This may result in additional cancellation charges.

Where an airline, hotel or other supplier provides a 24-hour or other specific cancellation window, the supplier's system time and applicable rules may determine eligibility.


8. AIR TICKET CANCELLATION

Air-ticket cancellations are governed primarily by the fare rules of the relevant airline.

Depending upon the fare, cancellation may result in:

  • Full refund;
  • Partial refund;
  • Refund after cancellation fee;
  • Refund after airline penalty;
  • Credit/refund subject to airline conditions; or
  • No refund.

In addition, Samadhan Shree may charge an applicable service or processing fee where disclosed.


9. AIRLINE CANCELLATION CHARGES

Airline cancellation charges may vary according to:

  • Airline;
  • Fare type;
  • Route;
  • Class;
  • Booking date;
  • Departure date;
  • Time remaining before departure;
  • Promotional conditions;
  • Ticket rules;
  • No-show status; and
  • Other airline conditions.

Samadhan Shree does not control airline cancellation charges.


10. AIRLINE NO-SHOW

If a passenger fails to cancel or modify a ticket before the applicable deadline and does not travel, the booking may be treated as a no-show.

No-show penalties may be imposed by the airline.

A no-show may result in:

  • Reduced refund;
  • Loss of refund;
  • Additional charges;
  • Loss of onward/return segments in certain circumstances; or
  • Other consequences under the airline's rules.

Passengers should contact Samadhan Shree before the scheduled departure if they are unable to travel.


11. AIRLINE SCHEDULE CHANGE OR AIRLINE CANCELLED FLIGHT

If an airline cancels a flight or materially changes its schedule, the refund or alternative travel options will generally be determined by the airline.

Depending upon the airline's rules, the customer may be eligible for:

  • Refund;
  • Rebooking;
  • Alternative flight;
  • Credit;
  • Waiver of certain charges; or
  • Other remedy.

Samadhan Shree will assist customers in communicating with the airline or processing the applicable option where reasonably possible.

However, Samadhan Shree cannot guarantee a particular remedy unless the airline has approved it.


12. AIRLINE REFUND PROCESS

Where a refund is approved by the airline:

  1. Samadhan Shree may submit or process the refund request;
  2. The airline may process the refund;
  3. The refunded amount may be received by Samadhan Shree or the applicable payment channel;
  4. Applicable deductions may be made; and
  5. The balance may then be refunded to the customer.

The time taken may depend entirely or partly upon the airline, B2B supplier, payment gateway or banking system.


13. HOTEL CANCELLATION

Hotel cancellation rules vary substantially.

A hotel reservation may be:

  • Fully refundable;
  • Partially refundable;
  • Refundable until a specified date/time;
  • Non-refundable;
  • Pay-at-hotel;
  • Subject to a one-night charge;
  • Subject to the full booking amount; or
  • Subject to another cancellation condition.

The cancellation policy displayed in the booking confirmation or quotation will apply.


14. HOTEL NO-SHOW

If a customer does not check in without cancelling the reservation, the hotel may treat the booking as a no-show.

Depending upon the hotel's policy:

  • One night may be charged;
  • The entire booking may be charged;
  • The reservation may be cancelled;
  • No refund may be available; or
  • Other charges may apply.

Samadhan Shree is not responsible for hotel no-show charges imposed under the hotel's terms.


15. HOTEL EARLY CHECK-OUT

If a customer voluntarily leaves a hotel before the booked departure date, a refund is not guaranteed.

Any refund will depend upon the hotel's policy and approval.


16. TOUR PACKAGE CANCELLATION

Tour-package cancellations are subject to the cancellation conditions communicated at the time of booking.

Because tour packages may involve multiple suppliers, cancellation charges may include:

  • Airline cancellation charges;
  • Hotel cancellation charges;
  • Transport charges;
  • Activity charges;
  • Guide charges;
  • Visa charges;
  • Supplier penalties;
  • B2B supplier charges;
  • Administrative charges; and
  • Samadhan Shree service charges.

The actual refundable amount may therefore vary substantially depending upon when the cancellation is made.


17. CUSTOMISED TOUR PACKAGES

For customised itineraries, cancellation charges may arise separately for each component.

For example:

  • Hotel;
  • Flight;
  • Vehicle;
  • Guide;
  • Activity;
  • Cruise;
  • Permit;
  • Visa;
  • Transfer;
  • Tour operator; and
  • Other services.

Cancellation of one component does not automatically cancel all other components.


18. GROUP TOUR CANCELLATION

Group bookings may have special cancellation rules because suppliers may have been contracted based on group size.

Group-tour cancellation may therefore be subject to:

  • Group cancellation charges;
  • Minimum group requirements;
  • Airline conditions;
  • Hotel conditions;
  • Transport conditions;
  • Supplier deposits;
  • Non-refundable advance payments;
  • Administrative charges; and
  • Other group-specific conditions.

The group booking terms provided at the time of booking will apply.


19. RAILWAY TICKET CANCELLATION

Railway ticket cancellations are subject to the rules of the relevant railway authority and booking system.

Refunds may depend upon:

  • Ticket status;
  • Time of cancellation;
  • Train departure time;
  • Ticket type;
  • Cancellation rules;
  • Booking charges; and
  • Other applicable rules.

Samadhan Shree cannot guarantee a refund where the railway system does not permit one.


20. BUS TICKET CANCELLATION

Bus-ticket cancellation is subject to the relevant bus operator or booking platform.

Different operators may impose different:

  • Cancellation deadlines;
  • Cancellation charges;
  • No-show rules; and
  • Refund conditions.

The applicable operator's terms will apply.


21. VISA FEE AND VISA SERVICE CHARGES

Visa-related fees may include:

  • Embassy/consulate fees;
  • Government fees;
  • Visa-centre fees;
  • Processing fees;
  • Courier charges;
  • Appointment charges;
  • Service charges; and
  • Samadhan Shree facilitation charges.

Government, embassy, consular and visa-application fees are generally non-refundable once paid, unless the relevant authority specifically provides otherwise.

Visa rejection does not automatically entitle the customer to a refund of such fees.


22. VISA REJECTION

Visa approval is entirely subject to the relevant authority.

If a visa is refused:

  • Government fees may not be refundable;
  • Visa-centre charges may not be refundable;
  • Service charges may be non-refundable;
  • Supplier bookings may be subject to their own cancellation charges; and
  • Travel arrangements may incur additional cancellation losses.

Samadhan Shree does not guarantee visa approval or reimbursement of losses arising from visa refusal.


23. INSURANCE CANCELLATION

Insurance cancellation and refund are governed by the terms of the relevant insurance company and policy.

Customers should review the policy wording carefully.

Once a policy has been issued, refund eligibility may depend upon:

  • Policy type;
  • Date of cancellation;
  • Commencement of coverage;
  • Claims made;
  • Insurer rules;
  • Regulatory requirements; and
  • Applicable law.

Samadhan Shree cannot independently cancel or refund an insurance policy contrary to the insurer's rules.


24. INSURANCE CLAIMS

A refund of premium and an insurance claim are separate matters.

Payment of an insurance premium does not guarantee that a claim will be accepted.

Claims are determined by the insurer under the applicable policy.


25. eSIM CANCELLATION AND REFUND

eSIM products may have specific cancellation and refund conditions.

Depending upon the provider, an eSIM may become non-refundable after:

  • Activation;
  • Installation;
  • First connection;
  • Use of data;
  • Expiry; or
  • Another specified event.

Unused eSIMs may be eligible for a refund only if the provider's terms permit it.

Samadhan Shree cannot guarantee a refund where the eSIM provider does not permit one.


26. eSIM TECHNICAL PROBLEMS

Where an eSIM does not function as expected, customers should contact Samadhan Shree promptly.

The customer may be required to provide:

  • Device details;
  • eSIM activation information;
  • Screenshots;
  • Error messages;
  • Network information; and
  • Other technical information.

Any refund or replacement will be subject to the eSIM provider's investigation and terms.


27. FOREX-RELATED CANCELLATIONS

Forex transactions are subject to applicable regulatory requirements and the terms of the authorised provider handling the transaction.

Cancellation, reversal or refund may depend upon:

  • Whether the transaction has been completed;
  • Currency availability;
  • Regulatory requirements;
  • Provider rules;
  • Exchange-rate changes; and
  • Applicable charges.

28. FINANCIAL AND LOAN APPLICATIONS

Where Samadhan Shree facilitates a loan, financial product or credit-card application, application processing does not guarantee approval.

If an application is rejected:

  • Application charges, where applicable, may not be refundable;
  • Third-party charges may not be refundable; and
  • Samadhan Shree service charges may be subject to the terms communicated at the time of service.

The final refund, if any, will depend upon the applicable service arrangement.


29. TAX-RELATED SERVICES

Fees paid for tax assistance, documentation, preparation or related services may become non-refundable once work has commenced.

If a customer cancels before work begins, the refund, if any, will depend upon the applicable quotation and service terms.

Government fees or third-party charges may be non-refundable.


30. SERVICE / PROCESSING CHARGES

Samadhan Shree may charge a separate service, processing, facilitation or administrative fee.

Unless specifically stated otherwise, such fees may be non-refundable once:

  • The service has been initiated;
  • A booking has been processed;
  • A document has been prepared;
  • A supplier has been contacted;
  • A cancellation/refund request has been processed; or
  • Other substantial work has been performed.

31. PAYMENT GATEWAY AND TRANSACTION CHARGES

Charges imposed by banks, payment gateways or payment service providers may not always be recoverable.

Where such charges have already been incurred, the amount refunded to the customer may be reduced accordingly where legally permissible and where such deduction was disclosed or otherwise permitted.


32. PARTIAL REFUNDS

Where only part of a booking is refundable, Samadhan Shree may process a partial refund.

For example, a booking may contain:

  • Refundable hotel;
  • Non-refundable flight;
  • Non-refundable activity; and
  • Refundable transfer.

The refund will be calculated based on the individual components.


33. MULTI-COMPONENT BOOKINGS

Where a booking includes several services, cancellation of one service does not automatically cancel all other services.

Customers must specifically request cancellation of each applicable component.

Each component may have a different cancellation policy.


34. AMENDMENT INSTEAD OF CANCELLATION

Where permitted, customers may request:

  • Date change;
  • Time change;
  • Passenger change;
  • Hotel-date change;
  • Route change;
  • Room-category change; or
  • Other amendment.

An amendment may be cheaper than cancellation and rebooking, depending upon the supplier.

However, amendments may also involve:

  • Fare difference;
  • Supplier charges;
  • Service charges;
  • Administrative charges; or
  • Other costs.

35. REFUND DUE TO SUPPLIER CANCELLATION

Where a supplier cancels a service and offers a refund, Samadhan Shree will assist in processing the applicable refund.

The amount received by the customer will depend upon the amount actually refunded by the supplier and applicable lawful deductions.


36. REFUND DUE TO FORCE MAJEURE

Where a service cannot be provided because of circumstances beyond reasonable control, any refund will generally depend upon:

  • Supplier policy;
  • Government requirements;
  • Insurance coverage;
  • Payment-provider rules; and
  • Applicable law.

Samadhan Shree does not guarantee a full refund solely because a force majeure event has occurred.


37. REFUND PROCESSING TIME

Refunds from third-party suppliers may take time.

Processing may involve:

Therefore, a refund may take longer than the time initially expected.

The applicable refund timeline will depend upon the relevant supplier and payment channel.


38. NO IMMEDIATE CASH REFUND OBLIGATION

Where a refund is dependent upon receipt of funds from a third-party supplier, Samadhan Shree may process the customer refund after the applicable amount has been received, subject to applicable law.

Customers should not assume that a refund will be available immediately upon cancellation.


39. REFUND TO ORIGINAL PAYMENT METHOD

Where practical, refunds will ordinarily be made to the original payment method.

For example:

  • UPI payment UPI/bank-linked refund;
  • Bank transfer applicable bank account;
  • Card/payment gateway original payment channel.

Additional verification may be required.


40. BANK DETAILS FOR REFUNDS

If a refund cannot be made through the original payment method, Samadhan Shree may request appropriate bank information.

Customers should provide only the information necessary to process the refund.

Samadhan Shree will never require your ATM PIN, UPI PIN, OTP, internet-banking password or card PIN to process a refund.


41. CUSTOMER-CAUSED CANCELLATION

Where cancellation occurs because of the customer's decision, mistake, inability to travel, failure to provide documents or other customer-related circumstances, applicable supplier and service charges may be deducted.

Examples include:

  • Change of travel plans;
  • Incorrect passenger information;
  • Failure to obtain visa;
  • Failure to arrive at airport;
  • Failure to check in;
  • Personal reasons;
  • Change of mind;
  • Incorrect booking instructions; or
  • Failure to provide required documents.

42. VISA OR DOCUMENTATION FAILURE

If a customer cannot travel because of:

  • Visa rejection;
  • Expired passport;
  • Incorrect documents;
  • Missing documents;
  • Immigration restrictions; or
  • Other documentation problems,

cancellation and refund will remain subject to the applicable supplier's rules.

Samadhan Shree does not automatically bear resulting cancellation losses.


43. NO REFUND FOR UNUSED SERVICES

Unless otherwise permitted by the relevant supplier:

  • Unused hotel nights;
  • Unused sightseeing;
  • Missed transfers;
  • Unused tour components;
  • Unused flights;
  • Missed activities; or
  • Other voluntarily unused services

may not be refundable.


44. EARLY RETURN OR SHORTENED TRIP

If a customer voluntarily shortens a trip after the service has commenced, a refund is not guaranteed.

Any refund will depend upon the supplier's rules.

Additional costs arising from an early return are normally the customer's responsibility unless otherwise agreed.


45. REFUND CALCULATION

Where a refund is available, the refundable amount may be calculated as:

Amount Paid – Supplier Cancellation Charges – Airline/Hotel/Tour Operator Charges – B2B Supplier Charges – Applicable Taxes/Non-refundable Amounts – Samadhan Shree Non-refundable Service Charges – Payment/Transaction Charges, where applicable

= Net Refund

This is an illustrative calculation only. The actual calculation will depend upon the specific service.


46. CANCELLATION AFTER SERVICE COMMENCEMENT

Once a service has commenced, cancellation or refund may be significantly restricted.

Examples include:

  • Flight already departed;
  • Hotel stay already commenced;
  • Tour already started;
  • eSIM activated;
  • Insurance policy already commenced;
  • Visa application already submitted; or
  • Other service already consumed.

In such cases, refund eligibility will depend upon the relevant supplier and applicable law.


47. SPECIAL PROMOTIONAL OFFERS

Promotional or discounted services may have special cancellation rules.

These may include:

  • Non-refundable fares;
  • Non-changeable bookings;
  • Short cancellation windows;
  • Advance-payment conditions;
  • Limited refund;
  • Credit-only arrangements; or
  • Other restrictions.

The specific promotional terms will apply.


48. CUSTOMER'S FAILURE TO RESPOND

Where Samadhan Shree requires customer information or confirmation and the customer fails to respond within the required period, a booking may be cancelled or expire.

Any resulting charges may be borne by the customer where permitted under the applicable terms.


49. DOCUMENTATION FOR REFUND

Samadhan Shree may request documents reasonably necessary to process a refund, such as:

  • Booking confirmation;
  • Payment receipt;
  • Cancellation request;
  • Identity verification;
  • Bank details where required;
  • Transaction reference; or
  • Other relevant documents.

Customers should provide genuine and accurate information.


50. FRAUDULENT REFUND CLAIMS

Samadhan Shree may refuse or suspend processing of a refund request where there is reasonable evidence of:

  • Fraud;
  • Forged documents;
  • Duplicate claims;
  • Unauthorised transactions;
  • Misrepresentation;
  • Chargeback abuse; or
  • Other unlawful activity.

Any action taken will remain subject to applicable law.


51. CHARGEBACKS AND PAYMENT DISPUTES

Customers are encouraged to contact Samadhan Shree before initiating a payment dispute or chargeback where the issue can reasonably be resolved directly.

A customer must not knowingly initiate a fraudulent or duplicate chargeback after receiving a refund.

Where a payment dispute is raised, Samadhan Shree may provide relevant transaction and booking records to the payment provider, bank or authorised institution.


52. REFUND NOTIFICATION

Where a refund is processed, Samadhan Shree may communicate:

  • Refund amount;
  • Refund date;
  • Transaction/reference number;
  • Payment method; and
  • Other relevant information.

Customers should retain refund confirmation for their records.


53. THIRD-PARTY REFUND DELAYS

Samadhan Shree shall not be responsible for unreasonable delays caused solely by:

  • Airlines;
  • Hotels;
  • B2B suppliers;
  • Insurance companies;
  • Banks;
  • Payment gateways;
  • UPI providers;
  • Government authorities; or
  • Other independent third parties,

subject to applicable law.

We will nevertheless make reasonable efforts to follow up where appropriate.


54. DISPUTES CONCERNING REFUNDS

If a customer believes that a refund has been incorrectly calculated or delayed, the customer should contact Samadhan Shree with:

  • Booking number;
  • Payment details;
  • Cancellation date;
  • Refund communication;
  • Relevant supplier correspondence; and
  • Other supporting documents.

We will review the matter and respond within a reasonable period.


55. CUSTOMER SUPPORT FOR CANCELLATIONS

56. IMPORTANT CUSTOMER WARNING

Customers should not assume that:

  • A booking is refundable merely because it has been cancelled;
  • A supplier will provide a full refund;
  • A visa fee will be refunded after visa rejection;
  • A hotel will refund an unused stay;
  • An airline will waive cancellation charges;
  • An eSIM will be refundable after activation; or
  • A service charge will automatically be refunded.

Refund eligibility must always be checked against the specific booking and applicable supplier terms.


57. CHANGES TO THIS POLICY

Samadhan Shree may update this Cancellation & Refund Policy from time to time due to:

  • Changes in services;
  • Changes in suppliers;
  • Changes in business practices;
  • Changes in payment systems;
  • Changes in applicable laws;
  • Changes in regulatory requirements; or
  • Other legitimate business reasons.

The latest version will be published on our website.

The “Last Updated” date will indicate the latest revision.


58. GOVERNING LAW

This Policy shall be governed by the applicable laws of India.

Nothing in this Policy is intended to restrict any mandatory consumer or statutory rights available to a customer under applicable law.

Subject to mandatory legal rights, disputes shall be subject to the jurisdiction of the appropriate courts in Bihar.


59. CONSUMER RIGHTS

Nothing in this Policy is intended to exclude, restrict or waive any right or remedy that cannot legally be excluded or waived under applicable law.

Where mandatory consumer-protection or other statutory rights apply, those rights shall remain unaffected.


60. RELATIONSHIP WITH TERMS & CONDITIONS

This Cancellation & Refund Policy forms part of the overall terms governing Samadhan Shree services.

It should be read together with:

  • Samadhan Shree Terms & Conditions;
  • Privacy Policy;
  • Booking confirmation;
  • Quotation;
  • Invoice;
  • Itinerary;
  • Supplier terms; and
  • Any specific cancellation conditions communicated for the relevant service.

61. ACKNOWLEDGEMENT BY CUSTOMER

Before confirming a booking, customers are encouraged to ensure that they understand:

  1. The cancellation conditions;
  2. The applicable refund conditions;
  3. The supplier's cancellation rules;
  4. Samadhan Shree's applicable service charges;
  5. The possibility of non-refundable amounts;
  6. Refund-processing timelines;
  7. Documentation requirements; and
  8. Any special conditions applicable to the selected fare, hotel, tour or other service.

By proceeding with a booking, the customer acknowledges that cancellation and refund eligibility may depend upon the relevant service provider.
